The Import & Supply Chain Operations Specialist is responsible for managing the import process from international suppliers, ensuring accurate documentation, optimizing logistics, and maintaining compliance. This role also supports supply chain functions, including inventory tracking, backflushing transactions, and assisting customer service operations when needed.
Import & Logistics Management
- Oversee all import shipments, including container tracking, managing brokers, and handling claims.
- Ensure accurate and timely import documentation, reviewing invoices, customs entries, and maintaining compliance records.
- Utilize the US Customs ACE Portal to manage duties, taxes, and customs compliance.
- Negotiate container rates, process import invoices, and analyze landed costs for savings opportunities.
- Monitor import inventory levels and communicate updates to the procurement and operations teams.
- Assist with steel procurement and export logistics when necessary.
Inventory & System Transactions
- Perform backflushing transactions to ensure accurate inventory reporting and cost allocation.
- Maintain accurate records of inventory movements related to imports and production processes.
- Generate and analyze inventory reports, freight reports, landed cost reports, and other supply chain metrics.
- Ensure system data integrity within ERP software (QAD, SAP, JD Edwards, or similar).
Customer Service & Order Processing Support
- Serve as a backup for customer service functions, assisting with order entry, pricing verification, and invoicing when needed.
- Support the resolution of chargebacks, customer inquiries, and order discrepancies.
- Assist with the EDI order process and troubleshoot system-related issues in collaboration with IT.
- Communicate effectively with the Distribution Center to ensure smooth order fulfillment.
Operational & Process Improvement
- Work cross-functionally with procurement, operations, and customer service teams to streamline processes.
- Review and recommend process improvements for efficiency and cost savings.
- Maintain organization and proper documentation of all import and supply chain transactions.
- Strong analytical, organizational, and time-management skills.
- Ability to multitask, prioritize tasks, and adapt to changing business needs.
- Proficiency in Microsoft Office 365 and ERP software (QAD, SAP, JD Edwards, or similar).
- Strong problem-solving skills and keen attention to detail.
- Strong verbal and written communication skills for effective cross-functional collaboration.
- Self-motivated with a solid work ethic.
- High School Diploma or equivalent; a Bachelor’s degree in International Business, Supply Chain, or a related field preferred.
- 3-5 years of experience in import operations, supply chain, or related roles.
- Experience with U.S. Customs regulations, HTS codes, and logistics preferred.
- Familiarity with backflushing and inventory transactions within an ERP system.
- Ability to sit for extended periods and occasionally lift up to 35 lbs.
- Must be reliable, punctual, and maintain professionalism at all times.
